About HomeBase Cincinnati: HomeBase Cincinnati is a leading organization dedicated to community development and neighborhood revitalization. We manage a range of funding programs and offer operational support to Community Development Corporations (CDCs) and community-based organizations across Cincinnati.

Position Overview: The Operations Administrator will play a crucial role in supporting HomeBase’s operational efficiency by coordinating tasks and managing administrative processes. This individual will be a key point of contact for CDC partners, stakeholders, and neighborhoods, ensuring smooth communication and facilitating HomeBase's community-driven projects. The ideal candidate will be organized, detail-oriented, and able to juggle multiple priorities.

Candidate Note: This position is a part time salary position, no more than 30 hours per week, is 85% internal facing, for someone who is highly organized and likes creating systems, efficient with their time, and works well on their own. (Could be a great opportunity for someone looking to work around their child(ren's) school schedule!)

Key Responsibilities:

  • Coordination / Executive Assistant: Schedule and manage logistics for ED meetings, HomeBase events, and program-related activities with CDCs, community stakeholders, and neighborhood partners. Assist the Executive Director in schedule management, coordinating a regular cadence of meetings with CDCs Executive Directors, and major stakeholders, and council members.

  • Record Management: Maintain accurate records, track project progress, and manage proper documentation for financial and service-related reports.

  • Policy and Procedure Adherence: Ensure compliance with HomeBase’s policies and procedures in all operational activities. Ensure compliance with City and HUD requirements for program reporting. Create internal SOPs for HomeBase processes.

  • Customer Service: Provide excellent support and responsive communication to CDC partners, stakeholders, and community groups.

  • Inventory Management: Oversee office inventory, manage supply orders, and ensure resources are available for day-to-day operations.

  • Bookkeeping: Perform routine bookkeeping tasks such as processing payments, managing invoices, and supporting financial reconciliation. Work in conjunction with accountant and executive director to make sure all budget coding is up to date and accurate.

  • Document Processing: Organize and file critical financial and service-related documents.

  • Payroll: Submit bi-monthly payroll for salaried and hourly employees.

  • Insurance: Maintains and keeps up to date both employee health insurance and organizational insurance.

Bonus Qualifications:

  • Experience in compliance and reporting for federal and non-federal grants, including familiarity with grant management and tracking requirements, and CDBG and/or HOME reporting.

Qualifications:

  • Experience with QuickBooks

  • Bachelor’s degree in business administration or a related field.

  • Prior experience in operations, office administration, or a similar role.

  • Excellent organizational skills and the ability to manage multiple tasks and projects simultaneously.

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and database management.

  • Excellent communication skills, both written and verbal.

  • High attention to detail and problem-solving abilities.
